Introduction

PSCL collects and processes only contact information as a business supplier, to the Parents, to maintain the working relationship. This contact information is held in an electronic format.

PSCL is committed to being transparent about how it handles the Parents contact information, to meet its data protection obligations under the General Data Protection Regulation (“GDPR”) and the Data Protection Act 2018. The purpose of this privacy notice is to make the Parents are aware of how and why we will collect and use this contact information both during and after the Parents' working relationship with PSCL.

Data protection principles

Under the GDPR, there are six data protection principles that PSCL must comply with. These provide that if we were to process or hold personal information about the Setting, it must be:

  1. Processed lawfully, fairly and in a transparent manner.
  2. Collected only for legitimate purposes that have been clearly explained to the Parent and not further processed in a way that is incompatible with those purposes.
  3. Adequate, relevant and limited to what is necessary in relation to those purposes.
  4. Accurate and, where necessary, kept up to date.
  5. Kept in a form which permits Parent identification for no longer than is necessary for those purposes.
  6. Processed in a way that ensures appropriate security of the data.

PSCL is responsible for, and must be able to demonstrate compliance with, these principles. This is called accountability. However, we do not collect personal information, only contact information.

What types of personal information do we collect?

Personal information is any information about an individual from which that person can be directly or indirectly identified. It doesn’t include anonymised data, i.e. Where all identifying particulars have been removed. There are also “special categories” of personal information, and personal information on criminal convictions and offences, which requires a higher level of protection because it is of a more sensitive nature. The special categories of personal information comprise information about an individual’s racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health, sex life or sexual orientation and genetic and biometric data.

In order to provide our Sports Coaching services to you, PSCL DO NOT collect personal information. Only the following information is collected:-

  • Contact details - including name, address, telephone number, email address of the Parent/Guardian.

How does PSCL collect Parent personal information?

PSCL does not collect Parent personal information. 

PSCL will collect Parent contact details purely for the purposes of maintaining the Coaching/Customer arrangement.

Parent contact details may be stored in different places, including e-mail systems, a secured laptop.

Why and how do we use the Settings contact information?

In addition to maintaining the Coaching/Customer arrangement, we also use the Parent’s information when the law allows us to. These are known as the legal bases for processing. 

We will use the Parent's contact information in one or more of the following circumstances:

  • Where we need to comply with a legal obligation
  • Where it is necessary for the business to do so and the legitimate interests or fundamental rights and freedoms do not override the Parent interests.

We may also occasionally use Parent information where we need to protect Parent vital interests (or someone else’s vital interests).

In some cases, we may also use Parent’s contact information where it is necessary to pursue our legitimate interests, provided that Parent interests or Parent fundamental rights and freedoms do not override our interests. Our legitimate interests include:

  • performing or exercising our obligations or rights under the direct relationship that exists between PSCL and the Parent;
  • performing effective internal administration and ensuring the smooth running of the business; ensuring the security and effective operation of our systems and network;
  • and protecting our confidential information.

We believe that the Parent has a reasonable expectation, as our Customer, that we will use the Parent’s information to contact them to maintain the agreement.

Why and how does PSCL use Setting sensitive personal information?

We do not collect and process Parent sensitive personal information.

Who has access to the Setting’s information?

Only Management has access to Parent’s contact information such as email addresses. Telephone numbers are shared with our Lead Coaches during clubs to ensure staff can contact in an emergency.

How does PSCL protect Parent personal information?

PSCL does not hold personal information in a paper format. All information is stored under a password protected email one drive.

No Customer/Children’s personal information is shared with the setting/school in which PSCL work.

PSCL does not retain any data which could be subject to a data security breach.

For how long does PSCL keep Parent contact information?

PSCL will generally hold Parent contact information for the duration of the need for our services or until the child leaves their primary/junior school at age 11.

If the parent believes that PSCL has not complied with their data protection rights, they have the right to make a complaint to the information commissioner’s office (ICO) at any time. The ICO is the UK supervisory authority for data protection issues.

Transferring personal information outside the European Economic Area (EEA).

PSCL will not transfer the Parent's information to countries outside the European Economic Area (EEA).

Automated decision making

Automated decision making occurs when an electronic system uses Parent personal information to make a decision without human intervention. This is not part of PSCL’s service to Parents and therefore does not apply.

Changes to this privacy notice

PSCL reserves the right to update or amend this privacy notice at any time, including where PSCL intends to begin to process the Parent's or children’s personal information or where we intend to process new types of personal information. We will issue the Parent with a new privacy notice when we make significant updates or amendments. We may also notify the Parent about the processing of their personal information in other ways.

Use of information and image (including photographs and video recordings)

So that we can share our club activities, we need permission to take photographs and/or video recordings.  Names will be omitted wherever possible but if needed, first name only will be displayed.  (These may be used for advertising future events, social media including Facebook/Instagram and Twitter, TikTok, Club Newsletters and for Parallel Sports Coaching Website). Please annotate the registration form to confirm whether or not you give permission.
